Acceptance of Terms

By accessing novamindshomeschool.co.ke, enquiring about our services, or enrolling a student with Nova Minds Homeschool & Tuition Center, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, please do not use our website or services.

Educational Services

Nova Minds provides home tuition, online tuition, homeschooling support, holiday tuition, exam preparation, one-on-one tutoring, small group classes, assignment assistance, academic assessments, revision programmes and educational resources, across Mathematics, Physics, Chemistry, Biology, English, ICT, Business Studies, Humanities and Primary School subjects, following CBC, 8-4-4, Cambridge, IGCSE, Pearson Edexcel and related curricula.

Home Tuition

Home tuition takes place at a parent's specified residence. Parents must ensure a safe, appropriate and quiet learning environment is available for the tutor and student, and that a responsible adult is present or reachable in the household during sessions with minors, in line with our safeguarding practices.

Online Tuition

Online sessions are delivered via video conferencing platforms agreed between Nova Minds and the parent. Parents and students are responsible for ensuring a stable internet connection and suitable device, as set out under "Online Learning Requirements" below.

Homeschooling

Where we provide ongoing homeschooling support, we work with parents to structure a curriculum plan, but the parent or legal guardian remains the responsible party for the child's overall homeschool registration and compliance with any applicable national education requirements.

Holiday Programmes

Holiday tuition and revision programmes run during specified school holiday periods, are subject to minimum enrolment numbers, and may be adjusted or rescheduled where numbers are insufficient, with parents notified as early as possible.

Booking Lessons

Lessons, assessments and programmes may be booked through our website, WhatsApp contact line, or directly with our administrative team. A booking is confirmed only once we have acknowledged it and, where required, received payment or a deposit.

Payments

Fees for tuition, assessments and programmes are payable in advance unless otherwise agreed in writing. Current fee structures are available on request or as published on our website. Nova Minds reserves the right to revise fees for future bookings, with reasonable notice given to enrolled families.

Cancellations

Parents are asked to give at least 24 hours' notice to cancel or reschedule an individual lesson. Cancellations made with less notice may be treated as a completed session and charged accordingly, except in cases of genuine emergency, illness, or circumstances beyond the family's control, considered at our discretion.

Refund Policy

Fees paid for sessions or programmes not yet delivered may be refunded or credited towards future tuition at our discretion, less any administrative costs already incurred. Fees for sessions already delivered, or for holiday programmes that have commenced, are generally non-refundable. Refund requests should be submitted in writing to novamindstuitioncentre@gmail.com.

Tutor Availability

While we make every effort to maintain consistent tutor assignments, tutor availability may change due to illness, scheduling conflicts or departure from Nova Minds. Where this occurs, we will endeavour to provide a suitably qualified replacement tutor with minimal disruption to the student's learning.

Student Responsibilities

• Attend scheduled sessions punctually and prepared, with required books or materials
• Engage respectfully with tutors, staff and fellow students in group settings
• Complete agreed homework, revision or assignment tasks between sessions
• Use any educational resources provided solely for personal study purposes

Parent Responsibilities

• Provide accurate information about the student's academic level, curriculum and needs
• Ensure a suitable, safe learning space for home tuition or a suitable device and connection for online tuition
• Settle invoices within the agreed payment terms
• Communicate promptly regarding any changes in circumstances, health, or learning needs relevant to tuition

Online Learning Requirements

For online tuition, families are responsible for providing a reasonably stable internet connection, a suitable device with camera and microphone, and a quiet space free of unnecessary distractions. Nova Minds is not responsible for disruption to a session caused by technical issues on the family's side, though we will always act reasonably to reschedule where practical.

Intellectual Property

All original content on our website and within our tuition materials — including lesson plans, worksheets, revision notes, past paper compilations, branding and the "Mathematics With Caleb" and related study material series — remains the intellectual property of Nova Minds Homeschool & Tuition Center, unless otherwise credited. Nothing in these terms transfers ownership of that material to students or parents.

Downloadable Resources

Educational resources made available for download, including via Google Drive, are provided for the personal, non-commercial study use of the enrolled student and their family. Resources may not be resold, redistributed, or published elsewhere without our prior written consent.

Website Use

You may browse our website, submit enquiries, and download publicly available resources for personal, lawful use. You must not attempt to disrupt, hack, scrape, or misuse our website, including any embedded third-party tools such as our contact forms, analytics, or video content.

Prohibited Conduct

• Harassment, discrimination or abusive behaviour towards tutors, staff or other students
• Sharing login details, private session links, or paid resources with unauthorised third parties
• Recording sessions without the prior consent of Nova Minds and the tutor involved
• Any use of our services or website for unlawful purposes

Limitation of Liability

Nova Minds provides tuition and educational support with reasonable skill and care, but does not guarantee specific examination grades, school admission outcomes, or academic results, as these depend significantly on individual student effort, prior ability and external factors. To the extent permitted by Kenyan law, Nova Minds shall not be liable for indirect or consequential loss arising from the use of our services or website.

External Links

Our website and blog may contain links to third-party websites or embedded content, such as YouTube videos or Google Maps, for convenience and educational value. We do not control and are not responsible for the content or practices of these external sites.

Blog Content

Articles published on our blog are intended for general educational guidance and interest, reflecting curricula such as CBC, 8-4-4, Cambridge, IGCSE and Pearson Edexcel. Blog content should not be relied upon as a substitute for personalised academic advice from your child's assigned tutor.

Service Changes

Nova Minds may update, expand, or discontinue particular services, subjects, or programmes from time to time, and may amend these Terms & Conditions to reflect such changes. Continued use of our services after an update constitutes acceptance of the revised terms.

Governing Law (Kenya)

These Terms & Conditions are governed by and construed in accordance with the laws of Kenya. Any disputes arising from these terms or our services shall be subject to the jurisdiction of the courts of Kenya.
